Google Drive Challenge
Overview:
Task 1 (5 pts)
Seroja tells you it has taken her many years to develop the signature recipes featured at On the Rise. She recounts the story of her cinnamon buns, explaining that she was inspired to replicate the buns she had tried when visiting Sweden years ago. Seroja notes that she had many failed attempts but was finally able to recreate the taste she had experienced during her travels. Seroja tells you that her recipes are highly confidential. She wants to share her final versions with the On the Rise bakery team. However, she needs to have a personal backup of all her recipes and recipe attempts as these versions include her private notes. You tell Seroja you’re happy to help her set up her files in Google Drive.
Complete the following steps:
1. Go to your My Drive.
2. Create a folder named “Seroja’s recipes.”
3. Open “Seroja’s recipes” and create a subfolder called “Cinnamon buns.”
4. Add a shortcut to the “Cinnamon buns” folder to the root of your My Drive. (Right click on the "Cinnamon buns" folder>Organize>Add Shortcut>Choose "My Drive")
5. Locate the shortcut and verify that the shortcut takes you to the “Cinnamon buns”
folder.​
Task 2 (10 pts)
Seroja shows you three files she saved locally. Two are attempts at cinnamon bun recipes and one is the final recipe that she later shares with the On the Rise Bakery team. Seroja admits that she is new to the Google Workspace and working in the Cloud. All her files are saved on her computer and are in Microsoft Word format. Is this situation a problem? You assure Seroja that you can easily upload Microsoft Word files to Google Drive and you can also convert them to Google Docs! The next day, Seroja reviews the contents of the folder and asks you to delete one of the files.
Complete the following steps:
1. Open each of the Word documents by clicking the link and download the documents
to your device:

2. Close the tabs used to preview the three Word documents.
3. Open the folder “Cinnamon buns” and upload the three Word documents.
4. Open “Cinnamon bun recipe final.docx” as a Google Doc.
5. Select File then Save as Google Docs to save a copy as a Google Doc.
6. Rename your new Google Doc to “Cinnamon bun recipe final_update.”
7. Close the tabs containing the Word and Google documents.
8. Return to your “Cinnamon buns” folder, right-click on “Cinnamon bun recipe attempt1.docx”, and choose Remove to delete the file. Alternatively, drag the file to the Trash
label.
Task 3 (5 pts)
Oh no! Seroja realizes she asked you to delete the wrong file. You restore it for her and delete a different recipe attempt.
Once you’re done, Seroja is pleased with the way you have set up her files in her My Drive. She asks you to create more folders where she can add some of her other recipes: hot cross buns, country bread, and rye bread.
Complete the following steps:
1. Restore the file “Cinnamon bun recipe attempt 1.docx”

Select the Trash label in Drive.

Right-click the file and choose Restore.
2. Return to your “Cinnamon buns” folder and verify that the recipe has been restored.
3. Right-click the file “Cinnamon bun recipe attempt 2.docx” and choose Remove.
4. Create three subfolders in the folder “Seroja’s recipes.”

Task 4 (5 pts)
Seroja notes that she would like to invite her head baker, Partner 1, to review her cinnamon bun recipes and make changes where needed. She doesn’t want to give him access to any of the other folders. You share the folder “Cinnamon buns” with Partner 1 and assign him Editor permission. Seroja also asks you to invite her publicist, Partner 2, and set their permissions to Viewer. Later, Seroja informs you that head chef, Partner 1, has made a note about ceylon cinnamon. Seroja wants to find all instances where it’s mentioned, so you offer to search her My Drive for the term “ceylon cinnamon.” You inform Seroja of your findings.
Complete the following steps:
1. Select the folder “Cinnamon buns” and select Share.
2. Add Partner 1 as an Editor. Use a partner 1's email address when sharing. Note: You can also choose to share the folder silently by deselecting the Notify People box when adding your colleague as a collaborator.
3. Add Partner 2 but set their permissions to Viewer.
4. Select Search in Drive at the top of the Google Drive page and type in “ceylon cinnamon.” Refine the search to My Drive only. What results do you find?
Task 5 (5 pts)
Seroja tells you she is ready to share the final cinnamon bun recipe with her bakery team. You create a shared drive for the team and choose a theme for the shared drive. Seroja then asks you to create two folders in the shared drive for recipes and food photography.
Complete the following steps:
1. Go to your My Drive, select Shared drives, and select New.
2. Create a shared drive named “lastname_On the Rise bakery team.”
3. Open the shared drive, select Change theme, and choose Pick from gallery.
4. Select an image of your choice, and click Select.
5. Select New and create two folders in the shared drive: “Recipes” and “Food photography”.
Task 6 (5 pts)
Seroja wants to share the updated cinnamon bun recipe with the team. You make a copy and move it to the “Recipes” folder in the “On the Rise bakery team” shared drive. Seroja wants a cinnamon bun image available to the team as well. You move one into the “Food photography” folder in the shared drive.

Complete the following steps:
1. Open “Cinnamon bun recipe final_update.”
2. Select File then Make a copy and name it “OTR cinnamon bun recipe final.”
3. Create the copy in the “Recipes” folder on the “On the Rise bakery team” shared drive.
4. Go to your My Drive and open the “On the Rise” folder.
5. Right-click the image file “Cinnamon bun final.jpg” and choose Move to.
6. Find the “Food photography” folder in the “On the Rise bakery team” shared drive then select Move here.
Task 7 (5 pts)
Seroja is ready to share and collaborate with the On the Rise bakery team. She wants different team members to have different Shared drive permissions. She also wants to share the cinnamon bun final recipe with team member, Partner 3, without making them a member of the shared drive.

Complete the following steps:
1. For the On the Rise bakery team shared drive, select Manage members

Add one or more of your colleagues to the shared drive with different permissions. Add them silently so they do not receive a notification and please remember to inform them that you are completing a training exercise.
2. Share a file from a shared drive.

Open the folder “Recipes.”

Right-click the file “OTR cinnamon bun recipe final”, and choose Share.

Add team mate, Partner 3, as a Viewer. For the course, add a colleague silently by deselecting Notify people in the sharing dialog. Remember your colleague may see the folder in their “Shared with me” area so remember to tell them that you are completing a training exercise.
Task 8 (5 pts)
Over the next few days, many from the bakery team join the shared drive. Seroja wants to get a general idea of what is happening so you check the shared drive activity and report back to her. Seroja later receives an email from team member, Partner 3. Partner 3 is having problems leaving comments in the file. Seroja asks you to check her permission and make sure she can leave comments.
Complete the following steps:
1. Locate the “OTR cinnamon bun recipe final” file and check the permissions given to team member, Partner 3.
2. Change her permission to “Commenter.”
Task 9 (5 pts)
Seroja tells you she is visiting a few On the Rise stores in Europe over the next week and wants to work on the file while she’s on the plane. Could you make sure she can access it on her device while she is offline? You do so. Seroja thanks you for your help setting up Google Drive. She gives you one of the On the Rise baker's dozen gift boxes filled with special treats for your efforts.
